Terms and Condition
By proceeding with the reservation, registration, and payment of the deposit for any tour product or service from Eropa Holiday, you are deemed to have read, understood, and accepted the following terms and conditions.
I. Tour Booking
- Registration Deposit: Registration requires an initial installment payment (deposit) of €250.00 per person.
- Passport Submission: A soft copy of the passport for every single participant on the tour must be sent to the official Eropa Holiday email address without exception.
- Registration Methods: Participants can register via phone or email as listed on the official website: www.eropaholiday.com.
- Price Adjustments: Tour prices are subject to change at any time before the booking confirmation and deposit payment received , with or without prior notice, due to fluctuations in exchange rates or increases fee in other travel costs (example : accommodation for guests and/or driver, driver fee, etc)
II. Registration & Payment

- Deposit Non-Refundable: The initial installment paid to Eropa Holiday to secure registration is strictly non-refundable.
- Remaining Balance: The remaining tour balance can be paid in installments or settled in full after the visa application has been submitted.
- Passport Validity: Registration requires submitting a passport that is valid for a minimum of six (6) months (for certain routes, a minimum of one (1) year) beyond the return date.
- Visa Obligations: The participant agrees to complete all required documentation according to the schedule and regulations of the destination country’s Embassy.
- Any other costs incurred due to strict deadlines not aligning with the visa processing time (such as cancellation fees for hotels, trains, or flights) will be borne by the participant.
- Participants are required to ensure all visa documents and requirements are met. The visa application must be submitted 1 to 3 months before departure.
- Unconfirmed Registration: Registration without an accompanying deposit payment is non-binding and may be cancelled without prior notification.
- Payment Deadline: The deposit or full payment, along with the passport copy, must be received no later than two (2) days after the booking/registration date.
- Final Payment: Full settlement of the tour cost must be completed 30 days before the departure date.
- Late Registration: Registrations made less than 30 days before the departure date must be paid in full immediately.
- Participants with Limitations: Participants over the age of 65, or those with physical or mental disabilities, must be accompanied by a family member, friend, or relative who will be responsible for their well-being throughout the tour.
III. Deviation (Route Details Changes)
Deviation refers to any change, extension, addition, or modification to the scheduled itinerary made AFTER confirmation and/or AFTER the first payment.
- Processing Deviation: Deviations can only be processed after the deposit is paid and a passport copy is submitted, and no later than 15 days before departure. An additional fee will be charged.
- Irreversible Change: Once a deviation is approved, the additional fees mandated by Eropa Holiday will be charged, and the change cannot be reverted to the original schedule.
- Eropa Holiday does not guarantee confirmation from hotels and/or excursion providers, etc if the participant requests a schedule change. If the deviation request is rejected by the hotels and/or excursion providers, the participant will automatically revert to the original schedule.
- Shortening the Tour: Deviations that shorten the tour itinerary will NOT result in a reduction of the original package price and will still incur an additional deviation fee.
- Deviations are not permitted for ANY PACKAGES, PROMO TRIP and/or SPECIAL TRIP.
IV. Cancellation
If a participant cancels the tour before the departure date, the following cancellation charges will apply:

- 45 – 30 Calendar Days before Departure : 50% of the Total Tour Cost
- 30 – 15 Calendar Days before Departure : 75% of the Total Tour Cost
- 15 – 00 Calendar Days before Departure : 100% of the Total Tour Cost
The cancellation fees above also apply to:
- Participants who change the departure date or change the type/package of the tour.
- Participants who fail to provide the required visa documents by the deadline set by Eropa Holiday, resulting in their inability to depart on time because their visa application is still being processed.
- In the event of cancellation by either the Participant or Eropa Holiday due to natural disaster, war, epidemic, terrorist attack, or other Force Majeure events, the terms above may change instantly without prior notice, depending on the policies of the hotels, and excursions provider. (Force Majeure: An event beyond human control that cannot be avoided, preventing an activity from being carried out as planned.)
- Failure to Pay: Eropa Holiday reserves the right to cancel the registration of any participant who fails to pay the deposit or full balance by the specified deadline.
- Visa Rejection and Ticketing: If a visa application is rejected, but tickets were already issued (due to non-negotiable airline deadlines), the visa fee is non-refundable, and the participant will still incur cancellation and administration penalties according to the terms of the hotels and/or excursions providers.
- Unilateral Cancellation: The participant’s initial deposit is non-refundable if the participant cancels unilaterally (on their own accord).
V. Refunds
- Non-Refundable Services: Unused air, rail, or other transportation tickets, as well as unused accommodation services, are non-refundable (non-transferable and non-exchangeable for cash).
- Illness/Inability Before Departure: If a prospective participant is unable to travel due to illness or other reasons before the scheduled departure date, the refund/cancellation fee will be governed by the Cancellation clause above.
- Unused Services During Tour: If a participant does not utilise any service included in the package due to personal impediment or illness during the trip, they are not entitled to a refund or any form of compensation for the unused services.
- Deportation/Rejection/Deviation: A participant who is denied entry or deported by the local immigration authorities (even if they possess a valid visa), rejected by the airline, becomes ill, suffers a mental disorder, or has an accident during the trip, forcing them to return or deviate from the scheduled itinerary, or is forced to cancel part or almost all of the trip after departure, is not entitled to a refund or any other form of compensation for unused services.
- Deposit Non-Refundable: The participant’s initial deposit is non-refundable if the participant cancels unilaterally.
VI. Disclaimer of Liability
Eropa Holiday and all its Agents are NOT responsible and CANNOT be sued for:
- Loss/Delay: Accidents, loss of luggage, or delayed arrival of luggage caused by the actions of the airline or other transport providers. Compensation will be based on the regulations of the international airline or transport provider used.
- Personal Belongings: Loss of personal items, luggage, items left at airports/hotels, and any criminal acts affecting the participant during the trip.
- Luggage Overload: Discomfort, accidents, or loss/delay of luggage resulting from passengers carrying an excessive number and/or size of bags that exceed the capacity of the vehicle used.
- Denial of Entry/Deportation: The refusal of entry and/or deportation of a participant by local immigration (even with a visa), rejection by the airline, illness, mental disorder, or accident during the trip that forces a return or deviation from the scheduled itinerary, or partial/near-total cancellation after departure.
- Delays/Cancellations: Delays or cancellations of flight schedules, and all events that occur outside the control of Eropa Holiday.
- Force Majeure Events: Changes, cancellations, or reductions in the itinerary resulting from natural disasters, civil unrest, or other Force Majeure events.
- Abandonment: Abandoning a participant due to illness or accident suffered during the tour.
- Any legal liabilities, penalties, or consequences arising from a participant’s commission of a criminal activity or any act that violates the laws and regulations of the countries visited. In such cases, the participant is solely responsible for all costs, legal fees, fines, imprisonment, or necessary travel modifications resulting from such actions.
VII. Rights of Eropa Holiday
Eropa Holiday and all its Agents/Supplier reserve the right to:
- Unilateral Issuance of Tickets: For the convenience and smooth operation of the tour, Eropa Holiday has the right to issue air, rail, and other transport tickets, accommodations, and attraction tickets without written or verbal confirmation to participants who have paid a deposit.
- Tour Cancellation (Low Quota) if the number of adult participants is fewer than two (2) people. In this event, all tour fees already paid will NOT be refunded.
- Removal of Participant: For the comfort and smooth running of the tour, Eropa Holiday reserves the right to ask a participant to leave the group if the participant causes disturbances, disrupts the tour schedule, makes unreasonable demands, provides false information about the tour, etc.
- Hotel Substitution: Substitute confirmed hotels with equivalent accommodations if the original hotels are fully booked. If a city is hosting a major exhibition/conference, hotels may be substituted with equivalent hotels in nearby cities.
- Itinerary Changes: The tour schedule may be changed at any time based on prevailing conditions without significantly reducing the overall number of main destinations/contents of the tour.
- Collect Price Difference: Charge the participant for any price differences (e.g., due to increases in excursion prices, city tax, etc.).
- Immediately exclude from the tour and/or services any participant discovered to be engaged in or reasonably suspected of engaging in criminal activity or behavior that endangers the safety, welfare, or comfort of the group or violates local laws. No refund will be given for any unused portion of the tour package in this circumstance.
- Tour cancellation if 2 or more participants discovered to be engaged in or reasonably suspected of engaging in criminal activity or behavior that endangers the safety, welfare, or comfort of the group or violates local laws. No refund will be given for any unused portion of the tour package in this circumstance.
VIII. Attraction/Activity Bookings
- Third-Party Services: Products sold by Eropa Holiday are in collaboration with third-party agents/suppliers who provide the attractions.
- Booking Confirmation: Booking confirmation can only be provided by Eropa Holiday after payment is received from the customer. The availability of seats/slots is entirely at the discretion of the third party.
- Non-Cancellation: Once a product is booked, it cannot be cancelled unless authorized by the Attraction Supplier.
IX. Passport
- Regulations: Each embassy/immigration office/consulate has different regulations regarding supporting data requirements and passport processing times. We are not responsible for any additional costs or delays in passport completion.
- No Refund for Rejection/Deportation: There will be no refunds for tour fees or any other form of compensation if a participant is deported or denied entry by local immigration authorities for any reason (even with a visa), including inadequate travel documents, quarantine rules, immigration laws, or other issues.
- Non-Refundable Fees: Eropa Holiday cannot refund fees if a passport or visa application is rejected.
X. Miscellaneous
- Triple Occupancy: For participants occupying a Triple Room (three people in one room), we do not guarantee three separate beds. The bedding arrangement depends on the hotel’s availability (it may be a combination of one/two beds, a sofa bed, or a rollaway bed), and participants are not entitled to a cost reduction.
- Room Type: Rooms available on some routes may be traditional rooms.
- Air Conditioning and/or heater: For certain routes, hotels in some areas may not have air conditioning and/or heater facilities.
- Mandatory Stops: In some itineraries, participants are required to visit designated local shops, and an additional fee will be charged if they do not visit them.
- Natural Phenomena: Some attractions/itineraries are natural phenomena that can be predicted but not guaranteed. Their availability depends on local weather and natural conditions. If an attraction is unavailable during the tour due to natural conditions, there will be no refund of fees.
- Visa Rejection (Pre-Ticketing): If a visa is rejected, but transportation/rail/ship tickets, attraction tickets, and accommodation were already issued or paid for due to non-negotiable deadlines set by the carrier/supplier, the visa fee is non-refundable, and the participant will still incur cancellation and administration penalties according to the terms of the transportation/rail/ship tickets, attraction tickets, and accommodation.
- Special Requests: Any special requests (e.g., meal preferences like vegetarian/dietary, adjoining/connecting rooms, seat assignments on flights, etc.) must be communicated at the time of reservation and tour booking confirmation. These requests require time for confirmation and are not guaranteed by the hotel, excursion providers, or restaurant.
Please note :
- Prices are not applicable on fair dates. We reserve the right to apply supplements or confirm hotels outside the affected city or in alternative cities should the tour include cities affected by a trade fair.
- This offer excludes: International and domestic airfares, airport taxes and visa fees, personal expenses (laundry, telephone etc.) and anything else not specified in the itinerary.
- Unless otherwise specified, permits and tolls are included. These are quoted at rates applicable at the time of our offer. These rates may be increased by local councils at any time without notice. As this is out of Eropa Holiday’s control, we reserve the right to add a surcharge for any additional costs if necessary.
- No reservations have been made at this stage and all hotels/services are subject to availability at the time of booking.
- Porterage is not included.
- Tips are not included.
- Where triple rooms are required and hotels are unable to provide a triple room or an extra bed in a twin room, a twin and a single will be provided and you will need to cover any additional costs incurred.
Based on European Union Regulation (EC) No 561/2006
- Daily driving period shall not exceed 9 hours, with an exemption of twice a week when it can be extended to 10 hours.
- Total weekly driving time may not exceed 56 hours and the total fortnightly driving time may not exceed 90 hours.
- Daily rest period shall be at least 11 hours, with an exception of going down to 9 hours maximum three times a week. Daily rest can be split into 3 hours rest followed by 9 hour rest to make a total of 12 hours daily rest.
- Breaks of at least 45 minutes (separable into 15 minutes followed by 30 minutes) should be taken after 4 ½ hours at the latest.
- Weekly rest is 45 continuous hours, which can be reduced every second week to 24 hours. Compensation arrangements apply for reduced weekly rest period. Weekly rest is to be taken after six days of working, except for coach drivers engaged in a single occasional service of international transport of passengers who may postpone their weekly rest period after 12 days in order to facilitate coach holidays.
- Daily and/or weekly driving times may be exceeded in exceptional circumstances by up to one hour to enable the driver to reach his/her place of residence or the employer’s operational centre in order to take a weekly rest period. Exceeding the daily and/or weekly driving times by up to two hours is also allowed to enable the driver to reach his/her place of residence or the employer’s operational centre in order to take a regular weekly rest period.
